TERMS & CONDITIONS OF THE 2008 TOUR DE KRUGER

Children in the Wilderness is looking forward to hosting you on the first Tour de Kruger - Tuli to Pafuri Mountain Bike Event

Please note that by completing a cycle tour registration form, all cyclists are acknowledging that they have read and accepted the following cycle tour booking terms and conditions

CYCLISTS

  • Minimum age requirement for any cyclist is 15 years of age (unless permission specifically granted for children younger than this)
  • Safety approved riding helmets are compulsory
  • All cyclists will be allocated to a cycling group of comparable cycling ability and will ride in teams to ensure that safety of the riders is never compromised. When we are travelling through areas of high game concentrations we will be riding in groups of around 15 riders for safety reasons. Please indicate on your registration form if you are entering with someone whom you would like to cycle with who is of the same ability as you are.
  • All cyclists must be in good health and of good fitness. This is not a race and you do not have to be a super cyclist to enter and to have fun. However you need to be reasonably fit to be able to enter and enjoy the ride.
  • Acceptance onto the cycle tour is subject to the cyclist completing and submitting the cycle tour indemnity form and completing and submitting a sponsorship form prior to the start of the tour - and paying the full amount on due date.
  • Should any cyclist behave in such a way that it negatively affects either the enjoyment or safety of themselves or other cyclists, that cyclist will be warned and if need be, evicted off the cycle tour without compensation

Bicycles

  • Only mountain bikes in good working condition will be allowed to participate

Safety

  • Cyclists may not deviate from the official route
  • Please be aware that this cycle tour may take you into close contact with wild animals. Neither the organisations, the sponsors, their employees, nor agents can be held responsible for any injury or incident on the safari
  • The ranger's, guide's and official's word is final! The safety precautions need to be taken seriously, and strictly adhered to. Anyone found in contravention of the officials or any safety regulations will be evicted from the tour without compensation
  • The Land Rover Owners Club of Southern Africa will have vehicles and experienced off-road drivers as support and 'sweeper' vehicles, carrying bicycle spares, refreshments and medical kits.

Health

  • As the cycle tour will be travelling through a malaria area, please consult your doctor re anti-malaria precautions. Having said that, we have chosen to travel at a dry time of the year, when the risk of malaria is low

Baggage

  • As space on the supply vehicles on the Tour is very limited, your luggage must be restricted to the following:
    • one soft  bag per cyclist to carry your clothes and sleeping gear
    • one small, soft cycling bag containing your bicycle spares and riding accessories and your bicycle in a secure bicycle bag!!!
  • We cannot be held liable for damage to your bike. Bikes will be loaded onto and off trucks for transport to/from the start of the tour, so please make sure that it arrives in a good protective bag. Your cycling bag will go into the Land Rover that follows you so it must have all your spares and kit!

Environment

  • This cycle tour will travel through National Parks. All cyclists agree to respect the wildlife and environment through which we are travelling and to obey all National Park rules and regulations
  • No littering. All energy bar wrappers etc must be kept on the cyclists until the next refreshment stop or put into the supporting Land Rover's trash container.
  • Please burn all toilet paper if you have to go between official loo stops!

Passport & Visas

This cycle tour will be travelling through Botswana and South Africa . The onus is on the cyclist to ensure that their passports and visas are valid for these countries. The organisations, the sponsors, their staff and their agents can not be held liable for any visas etc not held by the cyclist, nor the cost of visas. Currently South African passport holders do not require visas for Botswana


Insurance

It is a condition of the cycle tour, that it is the sole responsibility of each participant to ensure that they carry comprehensive medial aid or medical insurance cover. Please ensure that your medical cover includes emergency evacuation insurance. This will ensure that, in the event of a medical emergency, you can be airlifted to the nearest hospital. Cyclists will be charged directly by the relevant service providers for any emergency services they may require, so ensure that you are fully insured!


Photography

The tour organizers reserve the right without further notice to make use of any photograph or film taken on safari by our photographers without payment or permission. We guarantee that no photographs of a compromising nature will be used


Fundraising

There is a minimum cycle tour sponsorship donation of  R10 900.00 per cyclist. In the previous Children in the Wilderness cycling events, some cyclists raised donations of up to R100 000 . Wonderful prizes will be given to the cyclists who raise the most sponsorship (Please refer to the Cycle tour prizes page in due course for further details)

A deposit of R2900 is needed to secure your place on the cycle tour on registration . The balance of the minimum tour donation will be due by no later than 07th May 2008

At the pre cycling meeting will be held at the first nights camp site on the first day at 6:00 pm. 

Cyclists are responsible for collection of all sponsorship funds. The balance of payment i.e the difference between the minimum tour donation and actual sponsorship must be submitted by no later than 01 September 2006. This is when the prize winners will be notified.

All donations are non refundable

We have an 18A status, which will allow for donations of over R2000 to be tax deductible on issuance of a tax certificate. Should a tax certificate be required, please advise us per email together with the donors name, address, amount sponsored and contact details The tax certificate will then be issue on receipt of the funds and posted directly the donor


Included:

  • Tented accommodation on the cycle tour,
  • Support and “sweeper” vehicles
  • Refreshment stops
  • Services of camp staff
  • Services of bicycle technicians (spares are for the cyclists own account)
  • Enroute services of paramedic ( any medical supplies are for the cyclists own account)
  • Transport on either the coach to/from start and end of the Tour or from Pafuri to Tuli for self drives
  • National Park entry fees

 

Not Included

  • Visa fees (if applicable)
  • Malaria prophylactics (optional)
  • Beverages (to be supplied on a cash bar basis)
  • Medical and Travel Insurance
  • Cycling gear and equipment
  • Cycling spares (some spares will be available on a purchase basis)

Upgrade accommodation at Pafuri Camp - the last night of the cycle tour we will be staying at Pafuri Camp. Accommodation in the rooms and on the decks  of the rooms (versus the mobile camp) will be available to the cyclists on a first come first serve basis at an additional cost. The additional sponsorship value/contribution will be R700 per cyclist for a bed in the main unit and R300 per cyclist for a tent on the deck. Please note that each unit will be allocated to full capacity and therefore you will be sharing the unit with other cyclists . Tents will also be set up on the unit decks and you will share the toilet and shower facilities. Obviously we will do our best to allocate the units in such a way that you are sharing with cycling partners or friends if possible.


Cyclists to Bring

  • Sleeping bag
  • Pillow
  • Bottom Sheet
  • Towels
  • Torches and spare batteries
  • Suntan lotion
  • All personal toiletries and medication such as malaria prophylactics

Basic bike spares and speciality spares  -Thorns and sharp sticks necessitate cyclists riding with both tyre sealant and tyre liners for most of the tour. Unlike previous tours where thick sand posed a challenge to cyclists, thorns are a challenge for the Tuli to Pafuri trip. Without adequate prevention, your punctures will pose an inconvenience to you and those cycling with you.

  • Your own cycling  supplements if you are wanting a specific brand  
  • Two cycling bags - one with all  your clothes etc to go onto the supply trucks etc and one smaller one with  your bike spares etc to go on your support vehicle for use during the  day. Please ensure that all bags are labelled for easy identification
  • Cycling kit and shoes, helmet, light coloured  "armies" for protecting your arms against the sun and comfortable clothing for  the evenings after the cycling  
  • Cycle Bag to transport your bike in on the  coaches up to Kruger

Accommodation

All accommodation included on the cycle tour is based on single tent occupancy, except in your pay the surcharge for a room at Pafuri Camp

As this cycle tour travels to remote areas, facilities will be basic but comfortable. Accommodation will consist of a 1.8m x 1.2m tent and a mattresses. Each cyclist is to bring their own sleeping bag, pillow and towels. Ablution facilities out in the bush camps will consist of long drop toilets and hot bucket showers. Full back up support and catering facilities will be provided. A cash bar will be available for a drinks.


Booking Terms & Conditions

On receipt of your registration, we will send you a cyclist reference number. In order to secure this registration, a non refundable deposit of R2900 will be payable within 14 days of receiving your confirmation number. Please use the confirmation number as your reference when paying the deposit.  Should this deposit payment not be received, your registration will automatically expire

In the event of a cancellation, the following cancellation fees will apply:

  • From receipt of deposit until 12 weeks out - R2900 deposit will be forfeited
  • From 12 weeks until 8 weeks out - 50% of minimum sponsorship value will be charged
  • Within 8 weeks - 100% of minimum sponsorship value will be payable

Should you find a substitute cyclist to take your place, the above cancellation fees will be wavered


Consent

The payment of the registration fee or any other partial payment for this cycle tour constitutes consent by all cyclists covered by that payment to all provisions of the conditions and general information contained on this booking form. The terms under which you agree to participate in this cycle tour, cannot be changed or amended except in writing and signed by the cycle tour director
